Teams Adoption Bot (Power Virtual Agent in Teams)

Chatbots on Microsoft Teams are an easy way to provide answers to frequently asked questions by users.  The Teams Adoption Bot comes pre-loaded with answers to many common questions about using the features in Teams and can be optimized with custom topics and trigger phrases that are specific to your company’s users.  The Teams Adoption Bot can handle up to 250 topics and can escalate questions that cannot be answered by the Bot to a team of adoption support specialists such as your Champions team, for 1:1 assistance for the requestor in a Teams chat conversation.

  • Owner Team and Champion Teams (existing or created during deployment)
  • Operating Costs - none

Engagement:

Day One – create Teams, deploy the PVA Bot solution and assign pilot owners and users for acceptance testing and topic creation.
Day two– plan for deployment and adoption with your change management team.

FAQ + Bot (Microsoft Virtual Agent)

Chatbots on Microsoft Teams are an easy way to provide answers to frequently asked questions by users. However, most chatbots fail to engage with users in a meaningful way because there is no human in the loop when the chatbot fails to answer a question well.

FAQ Plus bot is a friendly Q&A bot that brings a human in the loop when it is unable to help. A user can ask the bot a question and the bot responds with an answer if it's in the knowledge base. If not, the bot offers the user an option to "Ask an expert", which posts the question to a pre-configured team of experts to provide support. An expert can assign the question to themself, chat with the user to gain more context, and add the question to the knowledge base by using a messaging extension so that the next user to ask that same question will get an answer from the chatbot!

  • Prerequisites – must have an Azure subscription that can be used for the bot installation.
  • Operating Costs
    • $233/month in Azure-based on average estimated load

Engagement:

Day One - Envisioning workshop to determine the possibilities
Day Two – Define the functionality, sources of information, and administration and updating

Day Three – deploy the FAQ+bot in azure and train the administrators
Day Four – Deploy to Microsoft Teams, test, and plan the Adoption and Roll Out

Teams Productivity Template Apps

Teams Apps are a terrific way to engage Frontline and Knowledge workers with productivity tools they need from within the Teams platform. Here are just a few of the many applications which will enhance your employees’ day to day collaborative experience.

Issue Reporting – do your frontline workers regularly send emails, chats, or create tickets to raise or report issues?  Issue Reporting is a Teams app package that allows managers to create a variety of Issue reporting templates that all your workers can use to make reports.  From Damaged Property to Depleted Supplies, any type of issue template that your team needs can be deployed through Issue Reporting. The app package includes workflows that manage the reporting, review, actioning, and resolution of issues and maintains a log and reporting dashboards.

Visitor Management – as we return to the workplace, it is more important than ever to manage visitors to your office. The Visitor Management app allows staff to create visitor requests and track the status through a dashboard, and get notified when a visitor arrives on site.

Staff Check-In – this Power App enables oversight and communication between on site and field or remote staff. Staff can check in on and ad-hoc or scheduled basis, and include notes and attachments. Reminders and automated workflows allow distributed teams to stay in touch and on track with daily activities and reporting.

Request-a-Team App – achieve a balance between IT oversight and employee empowerment with Request-a-Team.  Employees make a request for a team, which generates an approval workflow and then creates the team upon approval.

Engagement:

Day 1 – art of the possible demonstration of the app solution and requirements gathering.

Day 2 – deploy app solution to your Tenant and train app owner(s) and pilot users

Day 3 – Conduct Pilot testing and meet with your change management team to discuss roll out communication and training.

Power Platform Governance Workshop

With four generations in the workforce today, lots of smart people are turning good ideas into low-code apps using Microsoft 365’s Power PlatformBut with ease of use comes risk. Apps can be created but left unsupportedexpose too much data, or connect insecurely to other systems. When that happens, IT and pro developers burn cycles that lead to dissatisfaction.

Microsoft and Enabling Technologies advise that organizations get in front of the risk by creating and managing a low-code Center of Excellence (COE)We have teamed up to offer a Power Platform Governance Workshop - an assessment and advisory service to launch and operationalize a Center of Excellence. The CoE establishes auditing of Power Platform activity and equips Leaders and IT to establish guardrails for citizen developers to stay within the organization’s boundaries for governance, securityand sanctioned standards.

This engagement is meant for Development Managers and IT Leaders who are concerned about the risk of a lack of governance for citizens using the Power Platform. A Power Platform CoE takes ownership of administration, nurturing, and operations support. Enabling’s DevOps and CIO Advisory teams engage in a series of agile discussions with stakeholders about the current/planned state for topics like the following:

Standards

Coding and tools guidelines

Documentation expectations

Consistent baseline settings

Licensing management

Security

Role-Based Access

Sensitivity labeling and DLP

Connectors to 3rd party apps

Common Data Svc Controls

Enablement Operations

Training

Building extensible apps Accountability for Support Update & change control

In addition to strategizing the above topics, Enabling will deploy Microsoft’s Power Platform CoE Starter Kit. This collection provides some automation and tooling for monitoring and auditing necessary to support a CoE. The kit collects information across the various environments in your M365 tenant and provides Power BI analytics to view and interact with the data you collect. The kit shows who and where your creators are identifies orphaned apps and provides a learning repository.

After this workshop, the kit and the strategies developed in conjunction with Enabling’s SMEs are yours to keep. Together, your organization has a base for scalable and supportable citizen development.

Engagement:

Day One - Administration and Governance Overview and Maturity Model

Day Two - Deploy the CoE starter kit

Day Three - Review CoE dashboards and train app owner(s)

Day Four - Create a RACI Matrix for Power Platform governance and maturity
